FAQ
Frequently asked questions and answers about netfiles Send
Yes, netfiles Send is a filesharing service. Filesharing means sharing files between two or more parties, usually ad hoc (i.e. at short notice) and with a small group of recipients. netfiles Send enables files and folders to be shared securely in a professional context, with full compliance and in line with data protection laws – in a teamwork setting, for project communication, for customer communication or for data transfer between trusted partners. In addition, it facilitates the secure and efficient transfer of especially large or sensitive files. To this end, netfiles Send uses managed file transfer (MFT) technology.
MFT is a specialized solution for the automated, secure and transparent exchange of mission-critical data. By using established protocols such as SFTP, FTPS and HTTPS, it makes data transfer consistent, audit-proof and fully compliant. While the main benefits of filesharing in general are flexibility and ease of use, MFT adds clear guidelines and maximizes security. Companies use MFT above all in contexts where the confidentiality and security of transferred data must be guaranteed.
For these reasons, it is important to distinguish between netfiles Send – a certified and legally compliant service for secure business filesharing and professional data transfer – and other, unsafe applications.
No, netfiles Send is not an e-mail program. It provides a secure, data protection-compliant business filesharing service. To do so, netfiles Send uses managed file transfer (MFT) as its technical basis and is a useful complement to e-mail programs. Via upload or download links, you can use netfiles Send to share files securely via e-mail without first having to store them in your e-mail inbox.
That is important, because e-mail attachments quickly run into constraints: There are size limits, they cannot be tracked and traced, and they often fail to meet companies' own compliance specifications. In other words, netfiles Send makes sense whenever large files and/or sensitive files need to be sent – including clearly defined rights and access management. Files are released for sending via an e-mail address: The recipient then receives an e-mail containing the link that is needed to access the data.
Yes, netfiles Send meets the requirements of the EU's General Data Protection Regulation (GDPR) for secure and confidential data exchange. Thanks to the use of managed file transfer (MFT), netfiles Send transmits data in encrypted form, provides robust access protection and enables every download to be reconstructed in full. In this way, key GDPR requirements such as confidentiality, integrity, the principle of specified purpose and technical/organizational measures are met reliably and consistently.
All data transmitted by netfiles and/or stored at its ISO-certified data centers in Germany is always AES-256-encrypted. This practice complies with the EU's strict data protection regulations (GDPR), while guarding data from the influence of and access by foreign government agencies or laws (such as the US CLOUD Act).
netfiles is certified in accordance with ISO/IEC 27001:2022 and ISO 22301:2019. C5 compliance pursuant to Germany's Federal Office for Information Security (BSI) and compliance with the internationally recognized System and Organization Controls (SOC 2) standard have also been independently audited. netfiles Send thus meets the strictest requirements regarding security, data protection, compliance and data sovereignty.
netfiles is fully compliant with ISO/IEC 27001:2202, ISO 22301:2019 and SOC 2. It also possesses C5 certification from the Federal Office for Information Security (BSI). The virtual data room is GDPR-compliant and uses AES 256-bit encryption for both the transmission and storage of data. To guard against regulatory risks, all server locations are in Germany. Your data will only ever be stored in highly secure, ISO/IEC 27001 certified data centers in Germany.
Virtual data rooms (or VDRs; see "What is a data room?") such as netfiles Data Room are used in various contexts to transfer data securely between different locations and different companies. They have also proven their value for efficient collaboration with customers, business partners, in project teams and when working from home. For long-term and structured collaboration, virtual data rooms are the best option. In the context of spontaneous or ad-hoc data transfers or for the one-time transmission of data (or transfer for a limited time only), an MFT-based filesharing solution such as netfiles Send is the better alternative.
Conversely, there is no difference in terms of the security provided. For the transmission and storage of files, but also for the assignment of access rights, both netfiles Send and netfiles Data Room meet far higher security standards than cloud storage providers such as Dropbox and link-sharing providers such as WeTransfer.
netfiles Send is a secure file transfer service. You can receive files or send them via upload link even if you yourself do not have a netfiles user account. netfiles automatically scans all files for malware. Data is uploaded or downloaded via a link to a secure page that you can easily recognize from the address (URL):
Download page: If someone sends you files via netfiles Send, you will receive an e-mail containing a link to our download page. The URL of the download page always starts with "https://web.netfiles.de/sent-download/" followed by a random series of numbers and letters that uniquely identifies your data transfer transaction.
Upload page: If someone asks you to send them files via netfiles Send, you will receive an e-mail containing a link to our upload page. The URL of the upload page always begins with "https://web.netfiles.de/received-upload/" followed by a random series of numbers and letters that uniquely identifies your data transfer transaction.
Before you log in, check your personal user information (e-mail address and user password) to verify whether you are on netfiles’ secure login page.
The URL of the netfiles login page is https://auth.netfiles.de.
After logging in, you can access your netfiles data room at https://web.netfiles.de.
If you have not yet logged in, you will automatically be taken to the login page.
Before you download files from netfiles Send, you will be prompted to enter your e-mail address. You can download the files only if the e-mail address you enter matches the one specified by the sender. This ensures that only the authorized recipient of the data to be transferred can actually access it.
Alternatively, if the sender has opted for verification by security code, this step is omitted. Instead, you will automatically receive a further e-mail containing a one-time six-digit security code as soon as you begin the process of downloading the files sent to you.
If the sender has prescribed password protection as an added security measure, you will need the user-defined password in addition to your e-mail address. When the sender creates the password, they will be requested to forward it to you via a secure channel. If you have not received a password from the sender, please contact the sender.
